What Is on a Real Shipping Receipt?
Whether it comes from a USPS counter, a UPS Store, or a FedEx Office, a carrier shipping receipt is built around one field - the tracking number - with the postage math around it. A credible replacement copy should match that anatomy.
Tracking number as the anchor
The tracking number is printed near a barcode and follows the carrier's format: USPS domestic numbers run 20-22 digits and commonly start with 9400 or 9205, UPS numbers start with 1Z followed by 16 characters, and FedEx numbers are typically 12-15 digits. The format alone identifies the carrier.
Service level and destination
The receipt names the exact service - Priority Mail, Ground Advantage, UPS Ground, FedEx 2Day - with the destination ZIP code or country. Postage is priced by service, weight, and zone, so these fields explain the amount charged.
Weight and postage breakdown
Counter receipts print the package weight (pounds and ounces at USPS) and the base postage as its own line. Large lightweight boxes may be billed on dimensional weight, so the billed weight on the receipt can exceed the scale weight.
Declared value and insurance line
If you insured the shipment, the receipt shows the declared value and the insurance fee as a separate line. This line is what carriers check first on a loss or damage claim - payouts are capped at the declared value on the receipt.
Add-on service fees
Extras print as individual lines: signature confirmation, certified mail or return receipt at USPS, Saturday delivery, and retail-store charges like packaging. Each has its own fee, which is why two shipments of the same box can total differently.
Expected delivery date
Carrier receipts state an estimated or guaranteed delivery date next to the service level. For guaranteed services like Priority Mail Express, that printed date is the basis for a postage refund if the carrier misses it.

Get Your Original Shipping Receipt First
If you shipped through an account, the original is retrievable: USPS Click-N-Ship stores label and payment history, and UPS and FedEx accounts keep shipment history and billing documents you can re-download as PDFs. Even without a receipt, the tracking number pulls up the delivery record on the carrier's website. Use this template when the original is unavailable - a cash counter purchase, a faded thermal slip, or a shipment paid for by someone else.

A real carrier receipt is anchored by the tracking number printed next to a barcode - 20-22 digits often starting with 9400 or 9205 for USPS, 1Z plus 16 characters for UPS, 12-15 digits for FedEx. Around it sit the service level, destination ZIP or country, package weight, the postage amount, any declared value and insurance fee, add-ons like signature confirmation, and the expected delivery date.
Add the store name, purchase date, line items, totals, tax, payment method, and any optional notes you need on your Free Shipping template.

Yes. E-commerce sellers and businesses use shipping receipts to document postage costs for expense reporting and customer billing.
If you shipped through an online account, the record is retrievable: USPS Click-N-Ship keeps label and payment history in your account, and UPS and FedEx accounts store shipment history and billing documents you can re-download. For counter purchases paid in cash, the printed receipt is usually the only copy, though the tracking number still pulls up the delivery record on the carrier's site.
Yes - it is usually required. Carrier claims for lost or damaged packages ask for proof of the shipping transaction and proof of value: the receipt establishes the tracking number, service, date, and any declared value or insurance purchased, while a sales invoice establishes what the contents were worth. Claims are typically capped at the declared value printed on the receipt.
Both. You can use these templates for reimbursements, bookkeeping prep, and internal documentation workflows.
